If you’ve been saving contacts for years, there’s a good chance your address book holds hundreds of people you no longer remember—or will never contact again. A number from a one-off project. Someone you met at a conference five phones ago. Three entries for the same person, each with a different piece of their information.
Those records accumulate quietly. Eventually, finding the people you actually want to reach means scrolling past a history of old jobs, finished projects, and conversations that never continued.
Dextr makes it easy to trim your active contacts down to the people who matter. Dextr AI helps you decide who to keep, bulk selection lets you archive a group in one pass, and duplicate merging brings scattered details together. You can make progress a few contacts at a time, without turning cleanup into a weekend project.
Start with Dextr AI
Open Home and tap the Dextr AI card when suggestions are available. For contacts that need a keep-or-archive decision, Dextr presents one person at a time, along with the information that can help you recognize them.
Keep, archive, or come back later
Read the name, phone numbers, and email addresses before deciding. Tap the person’s name to look at their profile if you need more context.
- Keep: keep the person in your active contacts. Dextr can then help you add their relation to you, so the name is easier to place next time.
- Archive: move a contact you no longer need in your active list into your archive. You can find and restore archived records later.
- Skip for Now: leave the decision for another session when you are unsure.
If a name sounds familiar, open Jog Your Memory. Depending on the contact’s details, the menu offers shortcuts such as searching LinkedIn or checking Messages. A past conversation may tell you exactly why you saved the number.
You do not need to archive everyone you haven’t contacted recently. Keep people you expect to reconnect with, useful professional connections, and anyone whose information you still want close at hand. Use the archive for records you want to retain without keeping them in everyday view.
For the full review sequence, see how to keep, archive, and recognize contacts with Dextr AI. The walkthrough also shows how Keep leads into choosing the person’s relation to you.
Archive several contacts at once
When you already know which contacts belong in the archive, bulk selection is faster than opening every profile. This is useful for a completed project, an old event group, or a set of contacts you have just reviewed.
1. Open Contacts and activate bulk select
Tap Contacts in the bottom menu. Find the people you want to review, or open a tag’s contact list to narrow the group. Tap the checklist icon beside the sort arrows to enter bulk-selection mode.
2. Select the people and tap Archive
Tap each person’s selection circle. Use Select All only when everyone in the current list should receive the change. Check the count at the top, then tap the archive box at the bottom right.
3. Review the confirmation
The confirmation shows how many contacts will be archived and where to find them afterward. Check that number before tapping Archive. Choose Cancel if you need to adjust the selection.
Archived records are retained in Dextr but are no longer editable until you restore them. For the complete selection walkthrough and other group actions, see How to Bulk Edit Contacts in Dextr.
Merge duplicate contacts
A person may have one record from an old phone, another from an imported account, and another from a business card. Merging brings their useful details together so you have one contact to find and maintain.
On Home, look under Insights for Duplicates. Dextr identifies possible matches using shared contact details, such as phone numbers or email addresses, together with matching name information. Review each group to confirm the records really belong to the same person.
Preview before you merge
Open a name in the Duplicates list to see the matching records. Open either profile to compare its details, then tap Preview Merge. The complete duplicate-merging walkthrough shows both routes into the preview and the details to check before combining records.
Check the combined name, organization, job title, relation, and tags. In this example, Ethan’s work details and running-club context appear together in the preview.
Scroll through the rest of the preview, too. Review phone numbers, email addresses, places, first-meeting details, and notes. The example includes a work address, a 12-person Design Workshop, and notes about the next conversation—useful context worth keeping with the contact.
When the entire preview is correct, tap Merge. Merging combines the records and permanently removes the duplicates, including their separate linked Apple Contacts records where applicable. If the records belong to different people or you are uncertain, close the preview instead.
If merging is unavailable, check Settings → Contacts Sync. Dextr may need full Contacts access, completed sync setup, or your Primary Sync Device. Let an active sync finish first. Our Contacts Sync guide shows where to enable sync, review permissions, and read Last Sync Results.
Find and restore archived contacts
An archive lets you reduce clutter without having to decide that a contact will never be useful again. To revisit it, open Home, tap the Settings gear at the upper left, then choose Archived Contacts.
Search or browse the archive. To restore several people, tap the checklist at the upper right, select their rows, and tap the curved Restore arrow at the bottom. Select All is available when you want the whole current list.
Restore is different from the trash icon. Delete permanently removes a contact’s Dextr data and can also remove its linked Apple Contacts record. Read the confirmation before deleting; archive when you want to preserve the record for later.
Clean up the contacts you keep
Once the obvious clutter is out of the way, make the remaining contacts easier to recognize and find.
- Add useful context. Record how you first met, their organization and role, or a short note about your last conversation. Dextr AI can suggest missing context, including a relation to you or first-meeting information.
- Tidy your tags. Add tags for current groups and remove labels that no longer apply. You can add or remove tags in bulk without deleting the contacts themselves. Organize contacts with tags and Tag Groups.
- Set a clear Relation to You. Classify people as friends, colleagues, clients, or another relation that fits. Use bulk editing when the same relation applies to a whole selection.
- Review incomplete entries. Dextr AI may flag records with too little information to be useful. Add the missing details when you recognize the person; review the consequences carefully before accepting a removal suggestion.
- Create stay-in-touch reminders. For the people you want to keep close, choose when to reconnect. Set up reminders so an organized list turns into actual conversations.
Make cleanup a small habit
Spend a few minutes reviewing Dextr AI suggestions, checking new duplicate groups, and adding context after you meet someone. You don’t need to reach a particular number of contacts. The goal is a list you recognize, trust, and want to use.
